Travel & Booking Policy

This Travel & Booking Policy explains the reservation, payment, traveler information, accommodation, transportation, golf, tournament, and travel procedures applicable to experiences offered by Trip Eighteen Golf LLC, doing business as Trip18 ("Trip18," "we," "us," or "our").

By making a reservation or payment for a Trip18 experience, you acknowledge and agree to this Travel & Booking Policy, our Terms & Conditions, and our Cancellation & Refund Policy.

Specific trips, tournaments, or experiences may have additional or different requirements. When trip-specific terms conflict with this general policy, the trip-specific terms will control for that reservation.

1. Making a Reservation

Trip18 reservations may be made through our website, through an authorized Trip18 representative, or through another booking method approved by Trip18.

To make a reservation, you may be required to provide:

  • Full legal name

  • Email address

  • Telephone number

  • Billing information

  • Country and state of residence

  • Traveler information

  • Golf handicap or player information

  • Accommodation preferences

  • Arrival and departure information

  • Emergency contact information

  • Other information reasonably necessary to arrange the experience

A reservation is not considered confirmed until Trip18 has received the required payment or deposit and issued a booking confirmation.

2. Traveler Names

For international travel, each traveler's name should be provided exactly as it appears on the passport or other identification that will be used for travel.

Trip18 is not responsible for additional costs, denied services, or other problems resulting from inaccurate traveler information provided by the customer.

If a name must be corrected after reservations have been submitted to hotels, tournament organizers, transportation providers, or other suppliers, additional fees may apply.

3. Deposits

Certain Trip18 experiences may be reserved with an initial deposit.

The required deposit will be disclosed on the applicable trip page or during the booking process.

Unless expressly stated otherwise, reservation deposits are non-refundable.

Payment of a deposit authorizes Trip18 to begin securing services and making commitments on the traveler's behalf.

These may include:

  • Hotel accommodations

  • Golf reservations

  • Tournament registration

  • Transportation

  • Fishing or boating reservations

  • Tours and excursions

  • Meals and events

  • Destination services

  • Other components included in the selected experience

4. Payment Schedule

Some Trip18 experiences may allow payment in installments.

The applicable payment schedule will be communicated during booking or included in the booking confirmation.

Customers are responsible for making payments by the required deadlines.

Trip18 may send payment reminders as a courtesy; however, failure to receive a reminder does not modify or extend the payment deadline.

Failure to make a required payment may result in cancellation of the reservation according to the applicable Cancellation & Refund Policy.

5. Final Payment

The remaining balance for a Trip18 reservation must be paid by the final payment deadline specified for the applicable experience.

Some suppliers require Trip18 to make substantial payments well before the travel date. Therefore, final payment deadlines may vary between experiences.

Reservations that remain unpaid after the final payment deadline may be cancelled.

6. Prices

Prices are generally quoted in U.S. dollars (USD) unless otherwise stated.

Pricing may be based on:

  • Per-person occupancy

  • Single occupancy

  • Double occupancy

  • Golfer or non-golfer participation

  • Room category

  • Package type

  • Tournament participation

  • Selected activities

The applicable product or booking page will identify the basis for the quoted price.

Trip18 reserves the right to correct genuine pricing errors.

7. Package Inclusions

Each Trip18 experience will identify what is included in the package.

Depending on the experience, inclusions may include:

  • Hotel accommodations

  • Golf rounds

  • Tournament registration

  • Practice rounds

  • Ground transportation

  • Airport transfers

  • Meals

  • Welcome events

  • Awards events

  • Fishing

  • Tours

  • Excursions

  • Activities

  • Trip18-hosted events

  • Other services identified in the itinerary

Only services specifically identified as included should be considered part of the package.

8. Items Generally Not Included

Unless expressly stated otherwise, Trip18 packages generally do not include:

  • International or domestic airfare

  • Passport fees

  • Visa fees

  • Travel insurance

  • Airline baggage charges

  • Golf baggage charges

  • Personal purchases

  • Optional activities

  • Additional meals or beverages

  • Alcoholic beverages

  • Golf club rentals

  • Caddie fees

  • Caddie gratuities

  • Driver or guide gratuities

  • Hotel incidental charges

  • Medical expenses

  • Transportation outside the published itinerary

  • Other services not specifically identified as included

Customers should carefully review the inclusions and exclusions for each experience before booking.

9. Airfare

Unless specifically included in the applicable package, travelers are responsible for arranging and purchasing their own airfare.

Trip18 strongly recommends waiting until the applicable Trip18 experience has been confirmed before purchasing non-refundable airfare, particularly for experiences subject to minimum participation requirements.

Trip18 is not responsible for airline schedule changes, delays, cancellations, missed connections, baggage problems, or other airline-related issues.

10. Arrival and Departure Information

When airport transfers are included, travelers must provide accurate flight information by the deadline specified by Trip18.

This may include:

  • Airline

  • Flight number

  • Arrival date

  • Arrival time

  • Departure date

  • Departure time

  • Airport

Failure to provide accurate information by the required deadline may prevent Trip18 from arranging included transportation.

Additional transportation costs resulting from incorrect, incomplete, or late information may be the responsibility of the traveler.

11. Airport Transfers

Airport transfers are only included when specifically stated in the applicable Trip18 package.

Transfers may operate according to designated schedules or arrival windows.

Private transportation is not guaranteed unless expressly stated.

Travelers arriving substantially earlier or later than scheduled transfer periods may be responsible for arranging and paying for alternative transportation.

12. Flight Delays

If your flight is delayed, contact Trip18 as soon as reasonably possible.

Trip18 will make reasonable efforts to adjust transportation arrangements but cannot guarantee that included transfers can be rescheduled.

Additional transportation costs resulting from airline delays or cancellations may be the traveler's responsibility.

Travel insurance may provide coverage for certain expenses associated with travel delays.

13. Hotel Accommodations

Trip18 packages may be priced based on a specified occupancy level.

Unless otherwise indicated, a package advertised as "per person, double occupancy" assumes two travelers sharing one hotel room.

Hotel room categories are subject to availability.

Specific room locations, views, bed types, connecting rooms, or other requests are not guaranteed unless expressly confirmed.

14. Roommate Requests

Travelers may request to share accommodations with another participant.

When two travelers identify each other as roommates, Trip18 will make reasonable efforts to accommodate the request.

Each traveler remains independently responsible for their own reservation and payments unless otherwise agreed in writing.

If a roommate cancels, the remaining traveler may become responsible for a single occupancy supplement or may be offered another available roommate arrangement.

15. Single Occupancy

Travelers requesting a private room may be required to pay a single occupancy supplement.

The applicable supplement will vary depending on the hotel, destination, and length of stay.

Single rooms are subject to availability.

16. Hotel Incidental Charges

Travelers are responsible for personal hotel expenses not included in the Trip18 package.

Hotels may require a credit or debit card at check-in for incidental expenses.

Examples include:

  • Room service

  • Minibar purchases

  • Laundry

  • Spa services

  • Additional food and beverages

  • Telephone charges

  • Property damage

  • Other personal expenses

Trip18 is not responsible for incidental charges incurred by travelers.

17. Golf

Golf arrangements may include tournament rounds, practice rounds, recreational rounds, or other golf experiences.

Golf schedules may be affected by:

  • Tournament requirements

  • Weather

  • Course maintenance

  • Course conditions

  • Pace of play

  • Golf club policies

  • Starting-time availability

Trip18 cannot guarantee particular tee times, pairings, starting holes, or playing partners unless expressly included in the applicable experience.

18. Tournament Participation

Participation in tournaments is subject to the applicable tournament's eligibility requirements and rules.

Travelers may be required to provide information including:

  • Current handicap

  • Handicap identification number

  • Home golf club

  • Golf association

  • Age

  • Gender or competition division where relevant to the event

  • Tournament category

  • Other eligibility information

The tournament organizer has final authority regarding player eligibility, divisions, handicaps, rules, pairings, disqualifications, and competition results.

19. Golf Handicaps

Travelers are responsible for providing accurate and current handicap information when required.

Trip18 or the tournament organizer may verify handicap information through recognized golf associations or handicap systems.

Providing false or materially inaccurate handicap information may result in adjustment, reclassification, disqualification, or cancellation of tournament participation.

20. Golf Equipment

Unless expressly included, travelers are responsible for providing their own golf equipment.

Travelers should confirm airline policies concerning golf bags, baggage allowances, oversized baggage, and applicable fees before departure.

Golf club rental may be available at certain destinations but is not guaranteed unless confirmed in advance.

21. Golf Carts and Caddies

Golf cart and caddie policies vary by golf course and tournament.

Some tournaments may require walking or mandatory caddie use.

Golf cart availability may also depend on:

  • Tournament rules

  • Course conditions

  • Weather

  • Player eligibility

  • Local policies

Any cart or caddie fee not expressly identified as included is the traveler's responsibility.

22. Activities and Excursions

Trip18 experiences may include activities beyond golf, including:

  • Fishing

  • Boating

  • Cultural tours

  • Adventure activities

  • Culinary experiences

  • Sightseeing

  • Outdoor activities

  • Other destination experiences

Participation may be subject to separate supplier rules, age requirements, physical requirements, or liability waivers.

Travelers should evaluate their own ability and willingness to participate.

23. Passports

International travelers are responsible for possessing a valid passport.

Many countries require passports to remain valid for a specified period beyond the traveler's intended departure date.

Trip18 recommends checking passport validity well in advance of travel.

Trip18 is not responsible for a traveler being unable to participate because of an expired, damaged, invalid, or otherwise unacceptable passport.

24. Visas and Entry Requirements

Travelers are responsible for determining and satisfying all entry and transit requirements applicable to their citizenship, residency, destination, and itinerary.

Requirements may include:

  • Visas

  • Electronic travel authorizations

  • Transit visas

  • Proof of onward travel

  • Minimum passport validity

  • Entry forms

  • Other governmental requirements

Trip18 may provide general information as a convenience, but travelers should verify requirements with official government authorities.

25. Travel Insurance

Trip18 strongly recommends comprehensive travel insurance for every traveler.

Depending on the policy selected, coverage may be available for:

  • Trip cancellation

  • Trip interruption

  • Travel delays

  • Medical emergencies

  • Emergency evacuation

  • Lost or delayed baggage

  • Missed connections

  • Certain weather events

Travel insurance is generally not included in the Trip18 package unless specifically stated.

Customers are responsible for reviewing the terms, exclusions, limitations, and coverage of any insurance policy they purchase.

26. Health and Fitness

Travelers are responsible for determining whether they are physically capable of participating in their selected experience.

Some experiences may involve:

  • Significant walking

  • Heat or humidity

  • Altitude

  • Boat travel

  • Uneven terrain

  • Extended outdoor activity

  • Physical recreational activities

Travelers with concerns regarding their ability to participate should consult an appropriate professional before travel.

Trip18 does not provide medical advice.

27. Dietary Requests

Trip18 will make reasonable efforts to communicate dietary requests to hotels, restaurants, and other food service providers.

However, Trip18 cannot guarantee that every dietary request can be accommodated.

Travelers with severe food allergies or other significant dietary requirements should notify Trip18 before booking and communicate directly with food providers when appropriate.

28. Accessibility and Special Accommodations

Travelers requiring accessibility accommodations should contact Trip18 before booking.

International destinations, golf courses, transportation providers, hotels, boats, and activity providers may have accessibility standards different from those in the United States.

Trip18 will make reasonable efforts to determine whether requested accommodations are available but cannot guarantee services or facilities controlled by independent suppliers.

29. Emergency Contact Information

Trip18 may request emergency contact information before travel.

Travelers are responsible for ensuring that emergency contact information is accurate and current.

This information may be used when reasonably necessary in connection with an emergency involving the traveler.

30. Itinerary Changes

Published itineraries represent Trip18's intended schedule but are subject to change.

Trip18 may modify:

  • Golf courses

  • Tee times

  • Tournament schedules

  • Hotels

  • Transportation

  • Restaurants

  • Tours

  • Activities

  • Meeting times

  • Other itinerary components

Changes may be necessary because of weather, availability, supplier requirements, safety considerations, tournament schedules, or circumstances beyond Trip18's reasonable control.

When possible, Trip18 will attempt to provide a comparable alternative.

31. Minimum Participation

Certain Trip18 experiences may require a minimum number of participants.

If minimum participation is not achieved, Trip18 may cancel, postpone, modify, or reprice the experience.

If Trip18 cancels an experience because minimum participation has not been reached, customers will be informed of the available options according to the applicable Cancellation & Refund Policy.

32. Group Travel

Trip18 experiences may involve group transportation, meals, golf, and activities.

Participants are expected to respect published meeting and departure times.

Group transportation cannot always be delayed for individual travelers.

A traveler who misses a scheduled departure may be responsible for arranging and paying for alternative transportation.

33. Traveler Conduct

Travelers are expected to behave responsibly and respectfully toward:

  • Other travelers

  • Trip18 personnel

  • Golf club members and employees

  • Tournament officials

  • Hotel employees

  • Drivers and guides

  • Suppliers

  • Local communities

Trip18 reserves the right to remove a traveler from an experience when conduct is dangerous, abusive, threatening, unlawful, or substantially disruptive.

Additional expenses resulting from removal may be the traveler's responsibility.

34. Independent Suppliers

Many components of Trip18 experiences are provided by independent suppliers.

These may include hotels, golf courses, tournament organizers, transportation companies, fishing operators, restaurants, tour operators, and activity providers.

Supplier services may be subject to their own terms, policies, schedules, and operational requirements.

35. Cancellation

Customer cancellations are governed by the Trip18 Cancellation & Refund Policy and any trip-specific cancellation terms provided during booking.

Travelers should review the applicable cancellation terms carefully before making a reservation.

36. Unused Services

No refund will generally be provided for services voluntarily unused after travel has begun.

This may include:

  • Missed golf rounds

  • Tournament participation

  • Hotel nights

  • Meals

  • Transfers

  • Fishing trips

  • Excursions

  • Tours

  • Activities

Travel insurance may provide coverage for certain unused services when caused by a covered event.

37. Travel Documents and Final Itinerary

Trip18 may provide final travel documents electronically before departure.

Depending on the experience, these may include:

  • Final itinerary

  • Hotel information

  • Transportation instructions

  • Golf schedule

  • Tournament information

  • Emergency contact information

  • Activity information

  • Meeting locations and times

Travelers are responsible for reviewing their travel documents before departure and promptly notifying Trip18 of any apparent errors.

38. Communications

Trip18 may communicate important reservation and travel information by email, telephone, text message, or other contact methods provided by the traveler.

Customers are responsible for providing accurate contact information and monitoring communications relating to their reservation.

Important changes to itineraries or travel arrangements may occur shortly before or during travel.

39. Privacy

Traveler information will be handled according to the Trip18 Privacy Policy.

Because Trip18 coordinates travel services, certain traveler information may need to be provided to hotels, golf courses, tournament organizers, transportation providers, destination management companies, activity providers, and other suppliers necessary to fulfill the reservation.

International travel may require personal information to be transmitted to service providers outside the United States.

40. Relationship to Other Trip18 Policies

This Travel & Booking Policy should be read together with the following:

  • Privacy Policy

  • Cookie Policy

These policies collectively govern your use of Trip18 services and your reservation.

Trip-specific terms, when provided, form part of your booking agreement and may supplement or modify this general Travel & Booking Policy.
