Cancellation & Refund Policy

At Trip18, operated by Trip Eighteen Golf LLC, we understand that travel plans can change. At the same time, organizing golf tournaments and travel experiences requires Trip18 to make advance commitments and payments to hotels, golf courses, tournament organizers, transportation companies, activity providers, and other travel suppliers.
This Cancellation & Refund Policy explains the terms that apply when a traveler cancels a Trip18 reservation or when a trip, tournament, or experience must be changed or cancelled.
By making a reservation or payment to Trip18, you acknowledge and agree to this policy.
1. General Cancellation Policy
Unless a specific trip, tournament, or package states otherwise, the following cancellation schedule applies:

| 30 days or less before trip start date | No refund |
The initial reservation deposit is non-refundable, regardless of the date of cancellation.
Any additional amounts that Trip18 has already paid or irrevocably committed to third-party suppliers on the traveler's behalf may also be non-refundable.
If the cancellation terms published for a particular Trip18 trip, tournament, or experience differ from this general policy, the trip-specific cancellation terms will apply.
2. Non-Refundable Deposit
Most Trip18 experiences require an initial deposit to secure your reservation.
Unless expressly stated otherwise during booking, all deposits are non-refundable.
The deposit allows Trip18 to begin securing accommodations, tournament participation, golf, transportation, activities, and other services associated with your reservation.
A reservation is not considered confirmed until Trip18 has received the required deposit and issued a booking confirmation.
3. Supplier-Imposed Non-Refundable Charges
Trip18 works with independent suppliers including:
- Hotels and resorts
- Golf courses and clubs
- Tournament organizers
- Fishing lodges and charter operators
- Destination management companies
- Transportation providers
- Restaurants
- Tour and excursion operators
- Activity providers
- Other travel suppliers
Some suppliers require deposits, prepayments, or other commitments that become non-refundable before the deadlines contained in Trip18's general cancellation schedule.
If Trip18 has already made a non-refundable payment or commitment on your behalf, that amount may be deducted from any otherwise applicable refund.
4. How to Cancel
All cancellation requests must be submitted to Trip18 in writing.
The effective cancellation date will be the date on which Trip18 receives the written cancellation request.
Please include:
- Traveler's full name
- Trip or tournament name
- Booking or order number
- Email address used for the reservation
- A clear request to cancel
Notifying a hotel, golf course, tournament organizer, transportation provider, or other supplier directly does not constitute cancellation of your Trip18 reservation.
5. Refund Processing
If you qualify for a refund, Trip18 will calculate the refundable amount based on:
- The date your cancellation request was received
- The cancellation schedule above
- Your non-refundable deposit
- Supplier cancellation policies
- Non-refundable amounts already committed or paid on your behalf
- Any applicable trip-specific cancellation terms
Approved refunds will generally be returned using the original payment method where reasonably possible.
Please allow reasonable processing time after your refund has been approved.
Financial institutions and payment processors may require additional time before the credit appears in your account.
6. Payment Processing Fees
Payment processing fees charged by credit card companies, payment gateways, financial institutions, or other payment processors may be non-refundable where permitted by applicable law and the applicable payment processor's rules.
When permitted, such fees may be deducted from the amount refunded.
7. Failure to Make Required Payments
Trip18 experiences may require installment payments or payment of the remaining balance by a specified deadline.
Customers are responsible for making payments according to the payment schedule provided for their reservation.
If a required payment is not received by the applicable deadline, Trip18 may cancel the reservation.
Such cancellation may be treated as a customer cancellation effective on the date the payment became overdue, and applicable cancellation charges may apply.
Trip18 may provide payment reminders as a courtesy, but failure to receive a reminder does not extend a payment deadline.
8. Name Changes and Reservation Transfers
If you are unable to travel, Trip18 may, in certain circumstances, permit you to transfer your reservation to another eligible traveler.
Transfers are not guaranteed and are subject to:
- Trip18 approval
- Tournament eligibility requirements
- Hotel policies
- Supplier restrictions
- Availability
- Applicable name-change fees
- Deadlines established by suppliers
The replacement traveler must satisfy all requirements applicable to the original reservation.
Any costs associated with transferring the reservation are the responsibility of the travelers involved.
9. Tournament Registration Fees
Tournament registration fees may be subject to separate cancellation policies established by the tournament organizer.
Once Trip18 has submitted and paid for a tournament registration, that portion of your package may become non-refundable.
A participant who withdraws from a tournament, fails to appear, becomes ineligible, or is disqualified for violating tournament rules is not automatically entitled to a refund.
10. No-Shows
A traveler who fails to appear for a scheduled trip, tournament, hotel reservation, golf round, transfer, activity, or other included service will be considered a no-show for that service.
No refunds will be provided for no-shows or unused services unless Trip18 receives a refund from the applicable supplier and determines that a refund can reasonably be passed on to the traveler.
11. Unused Services
No refund will generally be provided for services voluntarily not used after a trip has begun, including:
- Hotel nights
- Golf rounds
- Tournament participation
- Meals
- Transportation
- Fishing trips
- Tours
- Excursions
- Activities
- Transfers
- Other included services
This includes situations in which a traveler arrives late, leaves early, voluntarily chooses not to participate, or changes personal travel plans.
12. Flight Delays and Cancellations
Unless expressly included in the package, Trip18 is not responsible for air transportation.
If a flight delay, cancellation, missed connection, baggage issue, or other airline disruption causes you to miss part of your Trip18 experience, the normal cancellation and unused-service provisions will apply.
Trip18 will make reasonable efforts to assist with alternative arrangements, but additional costs may be the traveler's responsibility.
This is one reason Trip18 strongly recommends comprehensive travel insurance.
13. Passport, Visa, and Entry Problems
Customers are responsible for ensuring that they possess valid passports, visas, travel authorizations, and other documents necessary to enter or transit through their destination.
No refund will be provided solely because a traveler is unable to participate due to:
- An expired or invalid passport
- Failure to obtain a visa
- Missing travel documentation
- Denial of entry by immigration authorities
- Failure to meet destination entry requirements
Travel insurance may provide protection for certain circumstances depending on the policy purchased.
14. Weather and Golf Course Conditions
Golf and outdoor activities are affected by weather and course conditions.
Rain, wind, temperature, course maintenance, temporary closures, modified tournament schedules, cart restrictions, or similar circumstances do not automatically entitle a traveler to a refund.
If a golf course, tournament organizer, or activity provider issues a refund or credit to Trip18 for a cancelled service, Trip18 will determine whether the applicable amount can be refunded or credited to the affected traveler.
15. Fishing and Outdoor Activities
Fishing, boating, and other outdoor activities may be modified, postponed, or cancelled because of weather, ocean conditions, safety concerns, or other circumstances.
The applicable operator determines whether conditions permit an activity to proceed safely.
Refunds or credits for supplier-cancelled activities will depend on the supplier's cancellation policy and the amount, if any, refunded or credited to Trip18.
16. Cancellation or Material Change by Trip18
Trip18 reserves the right to cancel, postpone, reschedule, or materially modify an experience when reasonably necessary.
Reasons may include:
- Insufficient participation
- Tournament cancellation
- Supplier cancellation
- Hotel or golf course closure
- Severe weather
- Natural disasters
- Transportation disruptions
- Government restrictions
- Health or safety concerns
- Political or civil disturbances
- Events outside Trip18's reasonable control
If Trip18 cancels an entire trip before departure, Trip18 will communicate the available options based on the circumstances.
Depending on recoverability of funds from suppliers, these options may include:
- Rescheduling
- A comparable replacement experience
- Future Trip18 travel credit
- Refund of recoverable amounts
Trip18 cannot guarantee reimbursement of amounts that have already become non-refundable through third-party suppliers.
17. Force Majeure
Trip18 is not responsible for cancellations, delays, interruptions, or changes caused by circumstances beyond its reasonable control.
These circumstances may include:
- Hurricanes and severe storms
- Earthquakes
- Floods
- Fires
- Volcanic activity
- Epidemics or pandemics
- Government restrictions
- Border closures
- War or armed conflict
- Terrorism
- Civil unrest
- Strikes
- Transportation disruptions
- Utility failures
- Golf course closures
- Natural disasters
- Other extraordinary events outside Trip18's reasonable control
When a force majeure event occurs, Trip18 will make reasonable efforts to recover funds or obtain credits from suppliers.
Any refund or credit offered to customers may depend on what Trip18 is able to recover from the applicable suppliers.
18. Travel Insurance
Trip18 strongly recommends that every traveler purchase comprehensive travel insurance immediately after making a reservation.
Depending on the policy selected, travel insurance may provide coverage for:
- Trip cancellation
- Trip interruption
- Medical emergencies
- Emergency evacuation
- Travel delays
- Missed connections
- Lost or delayed baggage
- Certain weather-related events
Customers are responsible for reviewing insurance coverage, exclusions, limits, and eligibility requirements.
Trip18's cancellation policy applies regardless of whether a traveler purchases travel insurance.
19. Trip-Specific Cancellation Policies
Certain Trip18 tournaments and travel packages may have cancellation terms different from those contained in this general policy.
This may occur because a hotel, tournament organizer, golf course, fishing lodge, or other supplier requires different payment and cancellation terms.
When trip-specific cancellation terms are provided on the applicable product page, booking confirmation, invoice, proposal, or other booking documentation, those trip-specific terms will control for that reservation.
Customers should carefully review the applicable cancellation terms before making payment.
20. Chargebacks and Payment Disputes
If you believe a Trip18 charge is incorrect, please contact Trip18 promptly so we can investigate the matter.
A customer's inability to travel does not automatically make an otherwise valid Trip18 charge unauthorized.
When responding to a payment dispute, Trip18 may provide the payment processor, financial institution, or card network with relevant documentation, including:
- Booking confirmation
- Payment records
- Cancellation policy
- Acceptance of Trip18's Terms & Conditions
- Customer communications
- Supplier commitments
- Proof of services provided or reserved
Nothing in this policy limits rights available to consumers under applicable law or payment card rules.
21. Relationship to Trip18 Terms & Conditions
This Cancellation & Refund Policy forms part of the Trip18 Terms & Conditions.
By making a reservation or payment, you acknowledge that you have reviewed and accepted both documents.
If a trip-specific cancellation policy conflicts with this general policy, the trip-specific policy will control for that reservation.
